Welcome to Wildfire.
We want to be clear about how we use your personal information and how you can exercise your rights.
Wildfire is the trading name of We are Wildfire Ltd, company number 14012549. Our registered and correspondence address is 20-22 Wenlock Road, London, N1 7GU.
We are responsible for the personal information described in this notice. It covers our website, website enquiries and the professional profiles and testimonials we publish. It does not cover personal information handled within client engagements.

2. The personal information we collect
When you contact us through our website, we collect your:
- Name and email address.
- Organisation, if you provide it.
- Enquiry topic and message.
- Further information you choose to provide during our conversation.
The form requires your name, email address and message so we can respond. Your organisation is optional. Please avoid including sensitive personal information or confidential information about other people unless necessary.
Our hosting and security providers also process technical information needed to deliver and protect the website, such as your IP address and information about your request.
We publish selected professional names, roles, photographs and testimonials with permission.
3. How we use your information
We use enquiry information to respond to you, understand your needs, arrange conversations or workshops, and keep an appropriate record of our correspondence.
Our lawful basis is our legitimate interest in responding to enquiries and running our business. Where you ask us to take steps towards a contract with you personally, we may instead rely on taking steps before entering that contract.
We process technical and anti-spam information for our legitimate interest in keeping the website secure and reliable. We may also process information where necessary to meet a legal obligation.
We rely on permission to publish testimonials and associated personal information. You can contact us to withdraw that permission.
We do not add website enquirers to marketing mailing lists or send subsequent promotional messages.
We do not use generative AI tools to process personal information from website enquiries or client work. Our service providers may use automated tools for functions such as spam detection.
4. Data security
We use appropriate measures to protect personal information. Our website uses HTTPS to protect information in transit, and we limit access to enquiry records to those who need it.
No internet service or method of electronic storage can be guaranteed completely secure.
5. Sharing your information
We do not sell your personal information.
We use service providers to operate the website and handle enquiries:
- Netlify hosts the website and receives and stores form submissions. Its service includes spam filtering through Akismet.
- Microsoft Office 365 handles enquiry notification emails and our correspondence.
We keep our working enquiry records in email, rather than copying them into a customer database.
We may also disclose information where required by law or where necessary to establish, exercise or defend legal claims.
These providers may process information outside the UK, including in the United States. Their data-processing arrangements provide for international-transfer safeguards, including approved contractual provisions where applicable. You can contact us for further information about the safeguards relevant to your information.
6. Third-party services and links
The current website does not include Google Analytics, advertising trackers or an embedded LinkedIn feed. Fonts and images are served from our website.
Following our LinkedIn link takes you to LinkedIn. External websites handle your information under their own privacy notices.
7. How long we keep information
We keep enquiries that do not become client work for 12 months after our last meaningful contact, then delete the relevant working records.
We delete duplicate submissions from Netlify after 90 days, once safely received in our business mailbox.
If an enquiry becomes client work, we retain necessary information under the arrangements applicable to that engagement.
We review published testimonials and associated personal information periodically and remove them when no longer needed or when permission is withdrawn. We retain only the permission records necessary to document their authorised use.
Technical logs and backup copies follow the relevant providers’ retention and deletion arrangements. We may retain specific records longer where required by law or necessary to deal with a dispute.
8. Your rights and complaints
Depending on the circumstances, you can ask us to:
- Provide access to your personal information.
- Correct inaccurate or incomplete information.
- Delete information or restrict how we use it.
- Stop processing based on legitimate interests.
- Provide a portable copy where that right applies.
Where we rely on consent, you can withdraw it at any time. This does not affect processing that was lawful before withdrawal.

You can also complain using the same contact details. We will acknowledge a data-protection complaint within 30 days, investigate it and communicate the outcome without undue delay.
